SalonOS for skin clinics

Skin clinic appointment software for consultations and courses

SalonOS is appointment and billing software for skin and aesthetic clinics in India. Clients book a consultation online with a specialist who is actually in that day; your front desk then sells the recommended treatment as a course of sessions, books each session and closes every visit with a bill. It runs the schedule, the course and the counter, and leaves clinical records to your medical records system.

The day it fixes

What changes at your skin clinic

  • A consultation becomes a six-session course that is tracked on paper.

Sell the course as a series from the client’s page at the counter. The number of sessions, the validity and what each session is worth are fixed at the sale, and SalonOS counts every session used.

  • Clients drift away halfway through a course.

When a session falls due, the client gets an email and a notification with a link straight to booking it. Your desk also has a list of everyone due a visit or close to expiry, soonest first, to call.

  • Specialists’ clinic days change from week to week.

Set each specialist’s shifts per branch, recurring or one-off, and record leave once it is approved. Online booking only offers the hours a specialist is actually in.

  • The desk is unsure who is trained for which procedure.

Mark the treatments each specialist performs. Booking only offers a treatment when someone at that branch can do it, and assigns a qualified specialist to every one.

Features

Built for skin clinics

  • Consultations clients can book

Consultation is its own category on a clinic’s menu, next to Skincare, Hair Removal, Cosmetic Enhancements and Med-Spa. Give it a length and a fee like any other service.

  • Treatment courses as sessions

Turn a package into a series with a session count and a validity in days. A series can hold a single treatment, such as six laser hair removal sessions.

  • Course reminders

Clients are reminded when their next session is due, counted from their last visit, and warned 30 and 7 days before their course expires. Reminders pause while a session is booked.

  • A due list for the front desk

The Customers page lists every client whose course is due a visit or expiring within 30 days, so the desk can phone them in order.

  • Specialist qualifications

Each specialist is matched to the procedures they perform, so a peel is never booked with someone who only does consultations.

  • Bills that follow your registration

A GST-registered clinic issues bills with CGST, SGST and its GSTIN. A clinic that is not registered issues a Bill of Supply with no tax. A voided bill stays on record with its reason.

  • Client history across your clinics

Every appointment at every branch sits in one history. Managers see phone numbers and emails masked, and only admins see them in full.

  • Specialists shown discreetly

Clients see the title Specialist and a first name. Full names and personal numbers never appear on a clinic’s public pages.

  • A page for each clinic

Each branch gets a public page with its address, map, hours and treatments, listed on location pages such as skin clinics in Hyderabad.

  • Deposits to hold procedure slots

Ask for a deposit when a client books a procedure online, paid into your own Razorpay account with no commission to SalonOS, and set what comes back by how much notice they give.

How it works

Three steps to your first booking

  1. Register the clinic

Enter your clinic’s name, verify your email with a code and pick Skin clinic. Clinic categories such as Consultation and Skincare are offered from the start.

  2. Set up specialists and courses

Add specialists with the procedures they perform and their clinic days, then turn your common courses into series.

  3. Take consultations online

Link your clinic’s page from your website and social profiles. Clients book consultations online, and the desk books course sessions as they come in.

Pricing

Start free, pay when it earns

The free plan runs one branch with a real booking page and real bookings. It is not a trial that expires, and it needs no card. Paid plans add branches and staff, and are priced for your region on the pricing page.

FAQ

Questions skin clinics ask

Does SalonOS store clinical notes, prescriptions or consent forms?
It does not. SalonOS handles appointments, courses, reminders and billing, so clinical records stay in your medical records system.
Can clients book a skin consultation online?
Clients choose your clinic, the consultation and a specialist or anyone available, then pick a time in your branch’s time zone.
How do I sell a course of laser sessions?
Create a series with the number of sessions and the days it stays valid, then sell it from the client’s page at the counter, noting how they paid.
What happens if a client cancels a session from their course?
The session goes back on their course. A completed visit or a no-show uses it up.
What happens when a course expires?
An expired course takes no new bookings, though a session booked before the expiry date still goes ahead. Clients are warned 30 and 7 days ahead.
Can a specialist work at two branches?
Assign a specialist to more than one branch and set their shifts at each; availability is worked out per branch.
Is there a free plan for a single clinic?
One clinic can use SalonOS free, with online booking, courses, counter billing and reminders, for as long as it likes. Extra branches and specialists come with paid plans.
Do clinic bills include GST?
Bills follow your registration: CGST and SGST with your GSTIN if the clinic is registered, or a Bill of Supply with no tax if it is not.
Can the front desk book a client who phones in?
The desk books by the client’s mobile number into any free slot, and the minimum notice you set for online bookings does not apply to it.
Can I take a deposit for aesthetic procedures?
On paid plans a client booking online can pay a deposit you set as a percentage or a flat amount, and refund rules decide what a late cancellation gets back. The deposit lands in your own Razorpay account and settles to your bank; SalonOS takes no commission.
